Last updated: 16 October 2026
This policy describes how Life Expeditions ASBL processes personal data collected through the website https://life-expeditions.com. It applies to website visitors and to people who use forms or subscribe to the newsletter.
It does not replace the Legal Notice. For any question, contact us at info@life-expeditions.com.
1. Data controller
The controller of personal data is:
Life Expeditions ASBL
Non-profit association under Belgian law
Registered office: Rue Robert Buyck 9, 1070 Anderlecht, Belgium
Enterprise number: 1002.211.423
Email: info@life-expeditions.com
Website: https://life-expeditions.com
2. Personal data collected
Depending on the features you use, we may process the following categories of data:
- Contact form (homepage): first name, last name, email address, message content.
- Newsletter form: email address.
- Interest forms (Education, Conferences, Expedition support): first name, last name, email address, organisation or project, type of interest, message.
- Technical connection data: processed when you visit the site for operation and security (for example IP address, timestamp, browser type), via the website’s hosting infrastructure. Details of the hosting provider will be added to this policy later.
- Language preference: stored locally in your browser (
localStorage) to remember the EN/FR choice.
The website does not offer an online shop or online donations. No advertising tools and no Google Analytics were identified in the site code.
3. Purposes and legal bases
Processing is based on the following purposes and GDPR legal bases:
- Responding to your requests (contact and interest forms): steps prior to a contract or legitimate interest in handling incoming requests (Art. 6(1)(b) or (f)).
- Sending the newsletter: consent (Art. 6(1)(a)), collected through the signup form. You may withdraw consent at any time.
- Hosting and securing the website: legitimate interest in availability, security and technical maintenance (Art. 6(1)(f)).
- Remembering display language: legitimate interest / technical measure needed for navigation (Art. 6(1)(f)).
- Embedded YouTube videos: when a page containing a YouTube embed is displayed, the player may load third-party resources (Art. 6(1)(f) legitimate interest in presenting multimedia content, or consent where required).
4. Contact form processing
When you submit the contact form, your data is collected so that Life Expeditions can handle and reply to your message.
The fields collected are those shown on the form: first name, last name, email and message. An anti-spam honeypot field is present and must not be filled in by users.
Further detail on the technical infrastructure used to receive and store form submissions will be added to this policy later.
5. Newsletter subscriptions and unsubscribing
Newsletter signup uses a form on the website that only asks for your email address.
There is no double opt-in (no confirmation email after signup). No third-party emailing platform is used to manage or send the newsletter.
To unsubscribe, email info@life-expeditions.com with the address to remove. There is no automatic unsubscribe link in newsletter emails at this time.
6. Hosting and technical data
The website is hosted on a third-party hosting infrastructure. In that context, technical data may be processed as needed for hosting, security and delivery of the site and forms.
The name of the hosting provider and related processing details will be completed in a later update of this policy.
7. Google Search Console
Life Expeditions uses Google Search Console to monitor indexing and search performance. This tool is used on the organisation side (webmaster account); no Google Analytics script or Google advertising tag was detected in page code.
Search Console may provide aggregated statistics related to queries and indexing. It is not, by itself, an advertising tracker embedded in site pages.
8. YouTube videos and third-party services
Some pages embed YouTube videos. Other videos are self-hosted on the site (local files) and do not load YouTube.
YouTube embeds load the YouTube player directly on the page. YouTube / Google may set cookies and process data according to their own policies.
See Google’s privacy policy for details on how YouTube processes data.
The site may also contain links to Instagram, LinkedIn or YouTube. Those platforms are independent of Life Expeditions.
9. Recipients and processors
Depending on the processing, recipients may include:
- authorised Life Expeditions members handling requests and the newsletter;
- the website hosting provider (details to be added later);
- Google / YouTube, when a page with an embedded video is loaded.
No third-party email marketing service receives newsletter addresses. We do not sell your personal data.
10. International data transfers
Google / YouTube may process data outside the European Economic Area when an embedded video is loaded. Where transfers outside the EEA occur, they must rely on appropriate GDPR safeguards (for example standard contractual clauses), according to that provider’s practices.
Any transfers linked to hosting or form infrastructure will be described when those hosting details are added to this policy.
11. Retention periods
Exact retention periods are not coded in the website. As a framework, subject to internal confirmation:
- Form messages: kept for as long as needed to handle the request, then archived or deleted according to legitimate needs and legal obligations. Exact duration to confirm.
- Newsletter: until unsubscribe or withdrawal of consent (request by email to info@life-expeditions.com).
- Hosting technical logs: according to the hosting provider’s practices (details to be added later).
- Language preference (localStorage): until you clear it in your browser.
12. Your GDPR rights
Under the GDPR, you notably have the following rights:
- right of access;
- right to rectification;
- right to erasure;
- right to restriction of processing;
- right to object;
- right to data portability, where applicable;
- right to withdraw consent at any time, without affecting the lawfulness of processing before withdrawal.
13. How to exercise your rights
To exercise your rights, contact:
Life Expeditions ASBL
Rue Robert Buyck 9, 1070 Anderlecht, Belgium
Email: info@life-expeditions.com
We may ask for information needed to verify your identity where appropriate.
14. Complaint to the supervisory authority
If you believe the processing of your data does not comply with the rules, you may lodge a complaint with the Belgian Data Protection Authority:
Autorité de protection des données / Gegevensbeschermingsautoriteit
Rue de la Presse 35, 1000 Brussels
Website: www.autoriteprotectiondonnees.be
15. Cookies and similar technologies
Based on a technical review of the site code:
- No Google Analytics and no advertising tools declared in the code.
- localStorage: language preference key (
le-lang) used by the language switcher. - YouTube: embedded players may set cookies when a page containing a video is loaded.
- Hosting: the hosting infrastructure may generate technical server-side logs. No cookie banner is shown, because no non-essential tracking tool is loaded automatically according to the audited code.
If non-essential cookies are added in the future, an appropriate consent mechanism should be implemented.
16. Policy updates
This policy may be updated to reflect changes to the website, providers or applicable law. The “Last updated” date at the top of this page is authoritative.
We invite you to consult it regularly.
